This policy explains how Maintask handles your personal data when you visit maintask.com and related pages or interact with Maintask by email.

2) What data Maintask collects

  • Contact forms: name, work email, phone, organisation, your message.
  • Newsletter: email address.
  • Career applications: CV, cover letter, and contact details you send by email.

Maintask does not intentionally collect special-category data or children’s data.

3) Why Maintask uses your data and legal bases

  • To respond to your enquiries sent via contact forms.
    Legal basis: legitimate interest in answering business enquiries and, where applicable, steps before a contract.
  • To send the newsletter if you sign up.
    Legal basis: your consent. You can withdraw at any time using the unsubscribe link.
  • To evaluate career applications you send by email.
    Legal basis: legitimate interest in assessing candidates and, where applicable, steps before a contract.

4) Sources and recipients

Data comes directly from you.
Maintask shares data with the following processors:

  • Webflow, Inc. — website hosting
  • Google LLC — business email (Google Workspace)
  • Salesforce, Inc. (incl. Pardot) — newsletter delivery, CRM
  • HubSpot, Inc. — newsletter delivery, CRM
  • Airtable, Inc. — CRM

These processors act under written contracts and must protect your data.

5) International transfers

The processors listed above are based in the United States.
Maintask relies on the EU–U.S. Data Privacy Framework, EU Standard Contractual Clauses, or other lawful transfer tools as applicable, and assesses related risks.

6) Retention

  • Contact enquiries: kept for up to 24 months after the last interaction, unless needed longer to establish or defend legal claims.
  • Career applications: up to 12 months after the recruitment process ends, unless you consent to a longer period or the data is needed for legal claims.
  • Newsletter emails: kept until you unsubscribe or the list is cleaned.

7) Your rights

You can ask Maintask to:

  • access your data
  • correct it
  • delete it
  • limit processing
  • object to processing based on legitimate interests
  • provide a copy of your data in a portable format

For consent-based processing, you can withdraw consent at any time. This does not affect past processing.

To use your rights, email [email protected]. Maintask will respond within one month.

You also have the right to complain to the Czech Data Protection Authority.

8) Security

Maintask applies appropriate technical and organisational measures, including access control, encryption, and staff confidentiality duties. Actual measures depend on risk and evolve over time.

9) Children

This site targets business users. It is not meant for children under 16.

10) Changes to this policy

Maintask may update this policy. The latest version is always on this page.
