As The Policy Circle grew, its decentralized tech stack created operational complexity. The challenges faced included:

  • Fragmented Systems & Data Silos: Donation platforms, event forms, membership access, and donor engagement lived in separate tools with no single source of truth, resulting in duplicate work and inconsistencies.
  • Limited Visibility: Leadership lacked real‑time programs and fundraising dashboards to guide strategy.

Scaling Technology Stack: Future growth required a reliable, integrated platform that could expand with TPC’s programs–without adding complexity.

Solution

Maintask became The Policy Circle’s long-term strategic IT partner through its Salesforce Support+ managed services package. 

Key initiatives focus on Salesforce-centered integration across platforms and workflows:

  • Salesforce NPSP + Donorbox: Donations processing was moved to Donorbox, now fully integrated with new opportunity setup in Salesforce NPSP, which serves as the central hub for contacts and donations, providing deeper donor insights.
  • Event Management: Maintask integrated FormAssembly to feed event‑registration data directly into the Program Management Module in Salesforce.
  • Membership Portal Backend: Salesforce was integrated as the backend for a Higher Logic-powered membership platform, enabling streamlined access management and improved visibility into member engagement.
  • Website Integration: Member access is checked against the membership data in Salesforce and opens a gated content without a need for login.

Ongoing Support: Provided critical services across cybersecurity, training, and technical web support, acting as the de facto IT team.
